Client Portal Access

The Client Portal gives customers secure, convenient access to their policy information and common servicing activities. Within the Simfuni platform you can choose which of a client's email addresses they use to log in, separately from the email address they receive communications to.

Account prerequisites:

  • User permission: Client view and Client update

Each client can have portal access on one email address at a time. You can see which email address has portal access on the client's Contact Information tab, where each email address can show one or both of these labels:

Label:

Description:

Customer Login

The client uses this email address to log in to the Client Portal.

Primary

The client receives system generated comms at this email address if their preferred contact method is post. It has no effect on portal access.

Enabling access

To give a client access to the Client Portal from their Client page:

  1. Click on the Actions menu and select "Manage client portal". This will bring up a list of the email addresses saved against the client.
  2. Select the email address the client will use to log in.
  3. Click "Finished".

Important. If the client already has portal access on another email address, selecting a new one moves their access across. They'll no longer be able to log in with the old email address, so let them know about the change.

Note. If "Manage client portal" is greyed out, either you don't have the Client update permission or the client has no email address saved.

Removing access

To remove a client's access to the Client Portal from their Client page:

  1. Click on the Actions menu and select "Manage client portal".
  2. Click "Remove access" next to the email address with the Customer Login chip.

The client won't be able to log in to the Client Portal again. If they're already logged in, they can keep using it until their session ends or they log out.

Updating email address to log in

To change the email address a client uses to log in, add the new email address to the client, then use "Manage client portal" to move their access across to it.

An email address with portal access enabled can't be edited. When you click the pencil icon on the Contact Information tab, the email address field will be locked, and hovering over it will show "Unable to modify email address used for client portal." You can still set it as the client's primary email address for communications.

Automatic access

When a policy is issued, the system automatically enables portal access for every policy owner on the policy, not just the primary policy owner, using their primary email address.

Portal access won't be enabled automatically when you:

  • Are a policy owner but don't have an email address
  • The email address is already used to log in by another client
  • Set a client as the primary policy owner on a policy.
  • Add or change a client's primary email address, even if they already have portal access.
  • Add a new policy owner to a policy that's already in force.
  • Add an email address to a client who didn't have one when their policy was issued.

In these cases, use "Manage client portal" to give the client access.

What Clients Can View in the Client Portal

Once portal access is enabled, every policy owner (primary or not) can see their in force and out of force policies. Other roles (for example, a life insured) who is not a policy owner can’t see any policy details.
