Document Management

Simfuni provides functionality for uploading, deleting, and controlling the visibility of external documents associated with a client’s policy. 

 

Account prerequisites: 

  • User permissions: Policy update (if uploading/renaming/changing visibility of documents), Policy document delete (if deleting documents)

 

Within Simfuni there are 3 separate categories of documents:

  1. System generated documents (e.g. missed payment letters).
  2. External documents that have been uploaded and stored against a policy.
  3. External documents that have been uploaded and stored against an underwriting workbench.

 

Documents uploaded to an underwriting workbench are managed separately and aren't affected by changes made to the policy’s documents. For more information about underwriting see this article.

 

To view documents that are saved against a policy, navigate to the 'Documents' tab of the policy. Here you can see any system generated documents (previously triggered by an event in the system) and uploaded documents (previously saved against the policy). Use the 'Upload' button to upload new documents.

  • Supported file types are .pdf, .jpg, .jpeg, .png, .msg, .eml.
  • The maximum file size is 200MB per file.
  • Corrupted or malware files will not be uploaded.
  • Once uploaded:
    • Documents can be renamed (this will change the name of the document shown in both the Partner and Client Portal).
    • Documents can be deleted (with the delete permission granted).
    • Documents can have the Client Portal visibility changed.
    • Additionally, PDF documents can be previewed.
    • Every document displays the document source (i.e. uploaded or generated), the date and time it was added, and the user who uploaded the document (if the document was uploaded rather than system generated). 

Documents marked as visible will appear in the Client Portal against the policy. Please note:

  • Uploaded documents have a 'Display in Client Portal' tag that can be turned on or off as needed to control whether it can be accessed by the client in the Client Portal. System generated documents do not have this flag, they must be deleted if they need to be removed from the Client Portal.
  • Policies that haven't been issued yet (i.e. are still only quoted) don't display in the Client Portal. Documents can be uploaded against quotes but won't display in the Client Portal until the policy is issued.
  • Documents that were uploaded against an underwriting workbench rather than a policy are not displayed in the Client Portal.
  • Pagination is supported for large document lists; clients may need to click "Load more" to see their full list of documents.
